How to cancel an invoice the right way in TailorSync

In TailorSync you never delete an issued invoice: you cancel it from the invoice page, and TailorSync issues a tax credit note for the full amount and takes its VAT off your VAT report. This episode cancels a boutique's invoice that was already part paid, refunds the payment, downloads the credit note and shows when a cancelled invoice can be reopened.

What the video covers

  1. 1Open the invoice. Find it in Sales and open it. It shows the total, what has been paid and what is left. Click Cancel invoice.
  2. 2The credit note. TailorSync issues a credit note for the full amount, so its VAT comes off your VAT report. The invoice itself stays on record, marked Cancelled.
  3. 3Money already paid. The dialog lists the payments taken and asks what happens to the money. Refund pays it back out of the account it went into. Keep as customer credit leaves it for the customer to spend at your counter.
  4. 4Confirm. Choose one, add a reason and click Cancel invoice. The invoice reads Cancelled with nothing left to pay, and its header says how much was refunded.
  5. 5Find the credit note. In Finance, open the Invoices tab and switch to Credit notes. Each one has its own number, points back at the invoice it cancels and shows the VAT it takes back.
  6. 6Download the PDF. Click the PDF button. It is a tax credit note with your TRN and the customer's, and the reason you typed, ready to send to them.
  7. 7Reopen by mistake. Cancelled the wrong invoice? In Sales, click its status pill and choose Reopen. Reopening voids the credit note and puts the payments back. It only works in the same VAT period, because an earlier one may already be filed.
  8. 8Only drafts can be deleted. Once an invoice is issued, cancel it this way instead.

Cancel an invoice

Al Waha Boutique has called off their second order, five beige kanduras. They'd already paid five hundred dirhams by bank transfer. Open their invoice from Sales. Here's the total, what they've paid, and what's left. Click Cancel invoice. TailorSync issues a credit note for the full amount, so its VAT comes off your VAT report. The invoice itself stays on record, marked Cancelled. It lists the payments taken, and asks what happens to the money. Refund pays it back out of the account it went into. Keep as customer credit leaves it for them to spend at your counter. They want their money back, so choose Refund. Add a reason, and click Cancel invoice. The invoice now reads Cancelled, with nothing left to pay, and the header says the five hundred was refunded.

The credit note

The credit note is in Finance. Open the Invoices tab, and switch to Credit notes. Here it is, with its own number, pointing back at the invoice it cancels, and the VAT it takes back. Click the PDF button to download it. It's a tax credit note with your TRN and theirs, and the reason you typed, ready to send to the boutique.

Reopen by mistake

Cancelled the wrong invoice? Go back to Sales, click its status pill, and choose Reopen. Reopening voids the credit note and puts the payments back. You can only do it in the same VAT period, because an earlier one may already be filed. This one stays cancelled, so click Keep cancelled. Only a draft can be deleted. Once an invoice is issued, cancel it like this. Next, your suppliers and your first purchase order.
