How to add a supplier and make your first purchase order in TailorSync
In TailorSync you add a supplier once, with their TRN, VAT status and payment terms, then order from them on a purchase order whose lines are linked to your inventory, so the goods go into stock when they arrive. This episode adds a fabric supplier, orders two kandura fabrics by the metre, marks the order as Ordered and sends it to the supplier.
Watch on YouTubeWhat the video covers
- 1Add the supplier. In Suppliers, click New supplier. Type the person you deal with, then the company name, their phone and their email.
- 2VAT status. Add their TRN and set Tax Status to VAT Registered. TailorSync then puts 5% VAT on their lines, and that is VAT you can claim back. Add their address and how many days they give you to pay, then click Create.
- 3Start the order. In Purchases, click New purchase and pick the supplier. Their terms and VAT status show underneath. Set the delivery date you expect.
- 4Lines from your inventory. Under Item, search your inventory and pick the fabric. The name, unit and last cost fill in, so you only type the quantity, for example 100 metres. Click Add Item for the next line.
- 5Create it. Lines linked to your inventory go into stock when they arrive. Check the total and the VAT you can claim back, then click Create PO.
- 6Mark it Ordered. A new order is a draft. Open it, click Change Status and choose Ordered. When a manager makes an order, it waits for your approval first.
- 7Send it. Click Print / Download for the A4 purchase order, or Send by WhatsApp: the message lists each line, the total and the delivery date, and the PDF downloads so you can attach it.

Before you start
In this video you'll add a supplier, order fabric from them with a purchase order, and send it to them. The fabric reaches your stock when it arrives, and that's the next video.
Add a supplier
Go to Suppliers and click New supplier. Type the person you deal with, then the company's name, their phone and their email. Add their TRN. They're VAT registered, so set Tax Status to VAT Registered. TailorSync puts five percent VAT on their lines, and that's VAT you can claim back. Then their address, and the days they give you to pay: thirty. Click Create.
Your first purchase order
Now the order. Go to Purchases and click New purchase. Pick the supplier, and their terms and VAT status show underneath. Set the delivery date you expect. Then, under Item, search your inventory and pick White Kandura Fabric. The name, unit and last cost fill in. Make it one hundred metres. Click Add Item, and add sixty metres of Beige Linen Kandura Fabric the same way. Both lines are linked to your inventory, so the fabric goes into stock when it arrives. Check the total, with the VAT you can claim back, and click Create PO.
Send it to the supplier
A new order is a draft. Open it, click Change Status, and choose Ordered. When a manager makes an order, it waits for your approval first. Click Print / Download for the A4 purchase order, with every line, the total and the delivery date. Or click Send by WhatsApp. The message lists each line, the total and the delivery date, and the PDF downloads so you can attach it. Next, the fabric arrives. You'll receive it into stock, and pay the supplier.
