How to invoice a business customer on credit in TailorSync

To invoice a business customer on credit in TailorSync, add them as a wholesale client with their TRN, credit limit and payment terms, then create the invoice in Sales: the due date fills in from their terms and VAT goes on top. This first episode of Season 2 adds a boutique in Abu Dhabi, invoices ten kanduras with a logo on the collars, prints the A4 tax invoice and records two bank transfers until it is paid in full.

What the video covers

  1. 1Add a business customer. In Clients, click Add Client and set Client Type to Wholesale. Type the name you know them by, then their phone, email and address.
  2. 2Tax details. Under Tax Details, type their TRN, which prints on their tax invoice. Tax Emirate is where their sales count on your VAT return; in the video the boutique is in Abu Dhabi.
  3. 3Credit limit and terms. Under Wholesale Details, type the company's legal name and a Credit Limit, the most they can owe you at once. Payment Terms set how long they get to pay, for example Net 30. Click Create Client.
  4. 4Invoice on credit. In Sales, click New sale and pick the customer. The due date fills in from their terms. Add items from your inventory, and use Add Custom Item for anything else, like a logo on the collars.
  5. 5Over the limit. If an invoice takes them past their credit limit, TailorSync warns you. It is only a warning, and you decide whether to go ahead.
  6. 6VAT on top. For a business customer, VAT goes on top of the prices: you see the subtotal, the 5% VAT and the total. Click Create, and the invoice is issued.
  7. 7Their tax invoice. Open the invoice to see the total, what they have paid, the balance and the due date. Click the print button and keep the A4 invoice: it is a full tax invoice with their company name, address and TRN. You can also send it by WhatsApp, with a link to view and download it.
  8. 8Record a payment. When they pay, click Record Payment, type the amount, choose Bank transfer and add their reference. The invoice now shows as partly paid.
  9. 9From Finance. The To collect tab in Finance lists everyone who owes you. When the rest comes in, record it there: click Full for what is left, choose how they paid and record it. Paid in full, they drop off the list.

Add a business customer

Go to Clients and click Add Client. A business customer is a wholesale client, so set Client Type to Wholesale. Type the name you know them by. That's how they show up in your lists and searches. Then their phone, their email, and their address. This boutique is in Abu Dhabi. Under Tax Details, type their TRN. It prints on their tax invoice. Tax Emirate is where their sales count on your VAT return, so pick Abu Dhabi. Under Wholesale Details, type the company's legal name. Credit Limit is how much they can owe you at once: two thousand dirhams. Payment Terms set how long they get to pay. Pick Net thirty, and click Create Client.

Invoice on credit

Now the invoice. Go to Sales and click New sale. Search for the boutique and pick it. The due date fills in from their terms: thirty days from today. They're buying ten white kanduras. Search the inventory, pick the kandura, and make it ten. Then click Add Custom Item, and add a line for the logo they want on the collars: ten, at fifteen dirhams each. This takes them past their two thousand limit, so TailorSync warns you. It's only a warning, and you decide. For a business customer, VAT goes on top. Here's the subtotal, five percent VAT, and the total. Click Create.

Their tax invoice

The invoice is issued straight away, at the top of your sales. Open it. Here's the total, what they've paid, the balance, and the due date. To print it, click the print button, keep the A4 invoice, and click Print. It's a full tax invoice, with their company name, address and TRN. You can also send it by WhatsApp. The message names the invoice, what's left to pay and the due date, with a link to view and download it.

Record their payments

When they pay, click Record Payment. They've sent one thousand dirhams by bank transfer, so type the amount, choose Bank transfer, and add their reference. Click Record Payment. The invoice is now partly paid, with the rest still to come. The To collect tab in Finance lists everyone who owes you. Here's the boutique, with what's left and when it's due. When the rest comes in, record it right here. Click Full for what's left, choose Bank transfer, and record it. Paid in full, so they're off the list. Next, how to cancel an invoice the right way.
